What to Expect

Shop Black Fest is a community shopping event that highlights Black owned businesses.

Each event usually includes:

• A mix of vendors
• Live music or entertainment
• A strong community vibe
• Hundreds to thousands of shoppers

Our goal is to help vendors meet new customers, sell products, and grow their business.

Typical Event Day Schedule

Most Shop Black Fest events follow a similar structure.

Food Trucks

Load In: 8:30 AM to 9:00 AM

All food trucks must arrive by 9:30 AM so they can park before other vendors begin arriving.

All Other Vendors

Load In: 9:00 AM to 11:00 AM

All vendors must be fully set up by 12:30 PM.

Event Hours

1:00 PM to 6:00 PM

Breakdown

Breakdown begins at 6:00 PM.

Vendors should plan to stay for the full event to provide a complete experience for guests.

What Shop Black Fest Provides

Most vendors receive:

  • One vendor space (usually 10x10)

  • Event promotion from Shop Black Fest

Shop Black Fest provides the space only.

Specific details such as indoor or outdoor setup, power access, and venue layout will be listed on your city instruction page.

What Vendors Must Bring

Vendors are responsible for bringing everything needed to operate their booth.

Tent*

Tent weights

Tables

Tablecloths

Chairs

Extension cords if needed

Lighting if needed

Display materials

Payment processing system

Trash bags

Please plan your booth setup ahead of time so you arrive prepared.

If you need more space than a standard vendor area, you may purchase an additional booth space when available.

Food and Drink Vendors

Food vendors and food trucks must provide:

• Proof of insurance
• Any required health permits (if required by the city)

Food vendors will receive an earlier load in time so trucks can park before other vendors begin setting up.

Booth Presentation

Please create a booth that looks clean and welcoming.

Make sure:

• Tents are secured with weights
• Tables have tablecloths
• Displays are neat and easy to see
• Your booth represents your brand well

Shop Black Fest events are designed to be positive and family friendly.

Vendor Promotion

All vendors will receive an “I Am a Vendor at Shop Black Fest” graphic.

You can customize it with:

• Your logo
• Your photo
• Your business name

Post it on social media and tag Shop Black Fest so we can share it and help spread the word.

Before the Event

Please make sure you:

• Review your city instructions
• Complete the vendor onboarding
• Prepare your inventory and booth setup

On Event Day

• Arrive during your load in window

• Follow directions from event staff

• Be ready to talk with customers

After the Event

• Break down during the assigned time

• Remove all trash and supplies

• Complete the post event survey if requested

Is electricity available?

Electricity is not guaranteed for every vendor.

Booth sharing is not allowed unless approved in advance.

What happens if it rains?

Shop Black Fest events usually happen rain or shine.

Vendors should bring tents, tent weights, and any supplies needed for weather protection.

Can I leave early?

No. Vendors should plan to stay for the full event.

Leaving early can create empty spaces and impact the overall experience for guests.

When will I receive my booth number?

Vendor maps are usually shared about two weeks before the event.

You will receive the map through email and in the Vendor Hub.

How should I promote the event?

Use the “I Am a Vendor at Shop Black Fest” graphic provided in the Vendor Hub.
